Privacy policy

This privacy policy explains how SHAREWIN AUSTRALIA PTY LTD ("we", "us") handles personal information in the ShareWin FlowCare platform. ShareWin FlowCare is a provider-authorised workflow tool for authorised educators of participating Family Day Care services. It is not designed for direct use by children. Children's information may be recorded by authorised educators only within provider-authorised workflows.

Who the app is for

ShareWin FlowCare is designed for authorised educators of participating Family Day Care services, operating under the authorisation and oversight of their council, service or provider. It is not directed to children as users, and it is not an individual consumer subscription sold inside the app.

Information we may collect

• Educator account information, such as name, email and service relationship.
• Provider/service information required to manage authorised use.
• Child profile and daily care records, such as attendance, meal, rest, toileting and activity documentation.
• Child images, where authorised by the provider and permitted under relevant consent and policy.
• Parent/guardian contact details for authorised communication.
• Technical information such as device identifiers, logs, diagnostics and security events.

How information is used

• To provide provider-authorised Family Day Care workflow tools.
• To support daily record-keeping, communication and documentation workflows.
• To send parent/guardian communications only where authorised and relevant to the child.
• To maintain system security, troubleshooting, support and audit readiness.
• To comply with provider policies and applicable legal obligations.

Sharing and disclosure

ShareWin FlowCare is not designed for public sharing, advertising use or unrelated disclosure of child information. Child-specific information is intended to be available only to authorised educators, relevant provider administrators and the relevant parent/guardian where authorised. Any additional disclosure is governed by provider policy, consent, contractual terms or legal obligation.

Data security

The service is designed around environment separation, least-privilege access, private storage, encrypted transmission and restricted support access. Development and testing use dummy or synthetic data only, and development builds are not connected to production. Our handling of personal information is designed to align with the Australian Privacy Principles, including APP 11 (security of personal information).

Access, correction and deletion

Access, correction, export and deletion requests are handled according to the relevant provider agreement, service policy and legal obligations. Educator access is provider-authorised; account access removal and deletion request pathways are available. Requests involving child records or parent information may require provider approval, as child records are controlled by provider/service policy and cannot be unilaterally deleted by an educator.

Children

The app is a professional tool for educators and is not directed to children as users. Child-image handling follows provider policy and parent/guardian consent where required.
